Welcome to iDDEntity. We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our ID card service.

Personal Information:

• Full name, date of birth, email address
• Emergency contact details
• Medical condition information
• Dance school and local authority details
• ID photographs
• Identification documents (for under 18s: passport or birth certificate)
• DBS certificates and chaperone licenses (for chaperones only)

Payment Information:

Payment processing is handled securely by Stripe. We do not store your full card details on our servers.

We use the information we collect to:

• Create and print your official ID cards
• Verify your identity for safeguarding purposes
• Process payments and send order confirmations
• Communicate with you about your card status and renewals
• Maintain records as required by child safeguarding regulations
• Improve our service and user experience

We implement appropriate technical and organizational security measures to protect your personal data against unauthorized or unlawful processing, accidental loss, destruction, or damage. Passports, birth certificates, DBS certificates and chaperone licences are kept in private storage that can't be opened from a public link, and only authorised iDDEntity staff can view them, using a link that expires after an hour.

At events, our check-in scanner only works with a code issued for that event, which stops working when the event ends, and every lookup is recorded against the name of the team member who made it.

We retain your personal data for as long as necessary to fulfill the purposes outlined in this Privacy Policy, or as required by law for safeguarding purposes. ID cards are valid for two years. One year after your card expires, we automatically delete your ID documents (passport, birth certificate, DBS certificate or chaperone licence), medical information, emergency contact details and email address. We keep only your name, date of birth, photo and card number, so we can confirm past event attendance for safeguarding and licensing purposes.

You don't have to wait: you can ask us to delete all of your data, including your name and photo, at any time by emailing Team@iDDEntity.co.uk, and we'll remove it.

Under GDPR, you have the right to:

• Access your personal data
• Correct inaccurate or incomplete data
• Request deletion of your data (subject to legal obligations)
• Object to or restrict processing of your data
• Data portability
• Withdraw consent at any time

We do not sell or rent your personal information to third parties. We may share your information with:

• Your registered dance school for card distribution
• That's Showbiz (Dance Design Events Ltd), through its teachers' portal, so your dance school's teachers can see which of their dancers are registered and organise age sections and event entries. Only your name, date of birth, photo and card details are shared; ID documents and medical information are never shared. This sharing is covered by a data protection agreement between iDDEntity and Dance Design Events Ltd.
• Payment processors (Stripe) for secure transactions
• Law enforcement or regulatory bodies when legally required
• Service providers who assist in card production (under strict confidentiality agreements)

Our service is designed to protect children. For applicants under 18, we require parental consent through the provision of identification documents. All data related to children is handled with the highest level of care and in accordance with safeguarding regulations.
